Provides administrative assistance for staff located at Regional Business center, including financial transactions support and payroll support in compliance with Clemson University policies and procedures. Manages daily office operations and coordinates grant activities. Performs other duties as assigned.JOB DUTIES
60% - Essential - Accounting and Financial Reporting:
Performs daily accounting transactions, including serving as the credit card liaison, serving as requisitioner in CU Buyways, processing employee and travel reimbursements and Clemson University Foundation vouchers and preparing web invoices. Provides financial reports utilizing CUBS query tools, including monthly reports for professional staff. Coordinates receipt/ handling of grant, gift & revenue funds according to University guidelines. Prepares deposits. Ensures deposit information is provided to campus. Reconciles revenues. Maintains accurate documentation for petty cash. Monitors budgets for accurate posting of expenditures/fund balances. Makes journal entries.
20% - Essential - Administrative Support & Office Management:
Provides administrative assistance to District Directors, County Coordinator & other staff members, including general & confidential correspondence, news articles, budget requests, reports & program materials. Maintains up-to-date files pertaining to Extension policies/procedures. Files correspondence & reference materials including complex Civil Rights files according to established guideline. Supports daily operations of the Business center by routing calls & customer requests.
10% - Essential - Grant Support:
Coordinates grant activities of departments served according to Sponsored Programs guidelines, including preparation and entry of payments in Clemson University on line purchasing system. Assures Sponsored programs guidelines are followed and provides Principal Investigators with Summaries of grant activities and balances.
10% - Essential - Payroll support:
Provides information regarding earnings distribution changes for employees in departments served, including employees to be paid from new or existing grants, and enters payroll corrections as required.MINIMUM REQUIREMENTS
A high school diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience.RESPONSIBILITIES
