Provide support to the ELT-NY Editorial and Design teams to ensure the efficient operation of the group.

PRINCIPAL ACCOUNTABILITIES/KEY RESULT AREAS
  • Provide administrative support for the Director of Sector(s), Publishers, Sr. Design Manager, and their groups maintaining accurate and efficient correspondence and communication to ensure that all staff are able to carry out their roles effectively.
  • Prepare and distribute author/freelance contracts and documentation as requested by members of the teams to ensure that there is no delay in the publishing process. Maintain accurate records to ensure compliance with OUP policy and protection of our intellectual property.
  • Process all payment requests to authors and freelancers so that payments are made accurately and timely. Maintain first cost and overhead records so that the team can monitor expenditure against budget. Check and reconcile any inaccuracies in our financial reporting systems.
  • Prepare financial and sales reports to assist the team in future publishing and to monitor sales and expenditure against budgets.
  • Assist in the organization of travel arrangements, conferences, and meetings. Attend and take minutes at meetings as requested ensuring that information, decisions, and action points are correctly recorded and distributed. Prepare expense reimbursement submissions so that payments can be paid accurately and on time.
  • Manage editorial reprint corrections so that corrections are included in next printings and have been accurately tracked.


Requirements

• Strong computer skills, including Word, Excel, and Outlook.

• Exceptional organizational skills and ability to problem-solve, prioritize, and manage heavy workloads to deadlines.

• Excellent interpersonal and oral and written communication skills.

• High level of attention to detail and accuracy

• A professional manner and the ability to handle confidential and sensitive information.

• Bachelor’s degree or higher.
