ABOUT THE POSITION The Internal Operations Administrative Assistant is responsible for the support of projects, operations, and a variety of ongoing and one-time tasks for the teams that make up Cascade’s Internal Operations Department, including Human Resources, Finance & Accounting, Facilities, Training, and Legal. This person will be a flexible multi-tasker, with the ability to stay ahead of competing deadlines and remain on-track while addressing immediate needs and interruptions. We are looking for someone who has excellent attention to detail, can create seamless workflows, and track processes meticulously. This full-time nonexempt position is located in our Portland office and reports to the Executive Assistant for Internal Operations. Travel is not anticipated for this role. Responsibilities for this role may include but are not limited to: General support: Internal team support for research and special projects Organize and schedule meetings and appointments Assist in the preparation of regularly scheduled reports Provide occasional back-up for front desk Finance & Accounting: Assist with invoice preparation including organization of appropriate documentation in the required format Credit card administration including distributing cards, managing PINs, and requesting replacement cards Scheduling meetings, assisting with team coordination, mailings, and other clerical duties Legal: Assist with contract management, insurance, and compliance needs Contract filing and legal updates in database Assist with contract compliance audits and distribute reports as necessary HR and Safety: Coordinate supplier diversity and sustainability survey and reporting Ongoing coordination and research for diversity initiatives and tracking Safety Committee meeting facilitation and team administration including document management, planning, and reporting Coordination, facilitation, and participation tracking of safety trainings QUALIFICATIONS For this role, we seek candidates with a track record or superior performance, including: Strong knowledge and use of MS Office including SharePoint, Excel, Word, and PowerPoint. Familiarity with Ajera is also a plus Demonstrated excellent written and verbal communication; ability to synthesize information for further application Excellent organizational and administrative skills, with the ability to manage multiple and shifting priorities and work Proactive, resourceful, and highly motivated with a results-oriented approach EDUCATION & EXPERIENCE Associates degree or higher in business administration or another related field; or professional work experience equivalent Two or more years in an administrative or support position in a business office COMPENSATION & BENEFITS Our total rewards include competitive pay and excellent benefits.
